Before you begin searching for your next meeting space, it is important to consider the specific requirements of your group. The more information that you have, the easier it will be for you to identify the most appropriate venue available. By taking the time to consider the various items listed below, you will be assured that you find the most convenient and economical location for your next event.
  • What type of gathering are you planning?
  • Will the gathering be casual or formal?
  • What time of the day will it take place?
  • How many people are you expecting to attend? If you don’t have the definite number, try to approximate as closely as possible.
  • Will you need to accommodate children as well?
  • Does the meeting space need to be handicap accessible?
  • Is the location convenient to attending guests? Is it close to airports, train stations, etc., for those coming in from out of town?
  • If guests will be traveling to your locale, does the venue have hotel rooms available on property? If not, will you need to provide transportation?
  • How much parking space will you require?
  • Do you have specific technological needs? If you require computers, overhead projectors, movie screens, etc., does the facility provide them? If so, are there any additional costs?
  • Will you want to have your meeting catered? If so, is catering available on site or nearby?
  • If having food catered, what type of service will you want? Full meals? Snacks? Beverages? Bar drinks?
  • Are there noise restrictions at the venue? Will you be able to use a microphone, have a DJ, or hire a band?
  • Will you be interrupted by noise from simultaneous events?
